Terms and Conditions

  1. Introduction

These Booking Conditions form the basis of your contract with Hejaz-e-Moqaddus. Please read them carefully as they set out our respective rights and obligations. By booking a trip with us, you acknowledge that you have read and understood these Conditions and agree to be bound by them.

  1. Application of Conditions

These Conditions apply solely to the travel arrangements you book with us and which we agree to provide as part of our agreement. References to “departure” mean the start date of your trip.

  1. Booking Process and Payment

3.1 Booking Confirmation:

  • To confirm your booking:
    • We will verify the availability of your chosen trip.
    • Upon booking within the applicable timeframe and receiving your completed application form and deposit, the booking will be confirmed, and a contract between us will be formed.
    • You will receive a receipt for all payments and our invoice.
  • If availability hasn’t been confirmed, the contract forms only after we send you the invoice.
  • Electronic booking acknowledgements without prior availability confirmation are not confirmations.

3.2 Checking Information:

  • Carefully review your invoice upon receipt.
  • Immediately contact us if any information appears incorrect or incomplete.

3.3 Trip Price:

  • The quoted price covers planning, organization, execution, group equipment, supplies, accommodation, administration, and staff.

3.4 Price Changes and Corrections:

  • We reserve the right to correct pricing errors before confirming your trip. We will inform you of any errors and the applicable price at the time of booking.

3.5 Price Adjustments:

  • Once confirmed, the price remains fixed unless changes occur in:
    • Transportation costs
    • Dues, taxes, or fees
    • Exchange rates used to calculate the trip cost

3.6 Surcharges and Refunds:

  • If unforeseen cost increases necessitate a surcharge, we will notify you within 14 days of the change. You will have two options:
    • Accept the surcharge and pay the balance.
    • Cancel your trip and receive a full refund of the cost already paid.

  • Inform us of any special requests before booking. We will try our best to fulfill them.
  1. Cancellations and Changes

5.1 Cancellation by You:

  • You are entitled to cancel your trip at any time by written notice. Cancellation charges will apply:
    • Up to 56 days before departure: 25% of the total price
    • 55-31 days before departure: 50% of the total price
    • 30-15 days before departure: 75% of the total price
    • Less than 14 days before departure: 100% of the total price
  • You may reclaim cancellation charges (less any excess) under your travel insurance policy terms and conditions.

5.2 Changes by You:

  • Changes to your confirmed trip are subject to availability and may incur additional costs. We will only pass on any extra costs from our suppliers.
  • Changing trip dates is considered a cancellation and re-booking, and cancellation charges may apply.

5.3 Changes and Cancellation by Us:

  • We reserve the right to:
    • Make changes to advertised and confirmed details (correcting errors).
    • Cancel confirmed bookings due to unforeseen circumstances.
    • Cancel trips requiring a minimum number of participants if that number is not met.
